WORD spell check

Help, special characters! – Special characters and spell check of MS Office

A service from special characters help

MS Office recognizes the spellings Dvorak and Milosevic not as wrong. Instead, it underlines the correct spellings Dvořák and Milošević as false.

Unfortunately, the internal dictionary of MS Office (MS Spelling Version x, English) can not be manually correced.

Instead, you have to proceed as follows:

1) Create an exclusion dictionary

For this, you create a new text document with the same name as the dictionary of MS Office

C:\windows\Profiles\<username\>Application Data\Microsoft\Proof\MSSP3EN [Office 2002], but with the file extension .EXC(-lusion)

or search for the file

C:\Users\<username\>AppData\Roaming\Microsoft\UProof\ExcludeDictionaryEN0809.lex [Office 2010] (warning, possibly hidden folders),

add into this file all the wrong spellings, then at the very bottom add a blank line (important!) and save the document.

“0809” is English for UK. For US spelling etc. see this list: http://msdn.microsoft.com/de-de/goglobal/bb964664.aspx.

Tip: Create a shortcut on the Desktop

If you now work (after restart) in Office documents, that wrong spellings are underlined.

Incorrect spellings in existing documents are also underlined if you click “Spelling and Grammar”, “Options”, “Proofing” and then on “Check document again”.

2) Create a custom dictionary

If you want to bring MS Office to recognize the correct spellings (with diacritics), you have to create an additional custom dictionary.

For this purpose, create a new text document named CUSTOM.DIC (in the same directory as the exclusion dictionary).

In this file now write all the correct spellings, then at the very bottom add a blank line (important!) and save the document in Unicode format (important!).

Tip: also create a shortcut on the Desktop

If you now work in Office documents, the correct spellings are recognized, even in existing documents.

By combining exclusion dictionary and user dictionary, MS Office even suggests in some cases the correct spelling (with diacritics) for as incorrectly recognized spellings, for example, Erdoğan for Erdogan.

3) [optional:] Change AutoCorrect list

For the very hard cases (for example, Lodz → Łódź), we have to turn to the AutoCorrect list. The English AutoCorrect list is stored in the file MSO2057.acl:

   C:\Documents and Settings\<username\>Application Data\Microsoft‌\Office‌ [Office 2002]

   C:\Users\<username\>AppData\Roaming\Microsoft\Office [Office 2010]

To write additional AutoCorrect entries, go under “Spelling and Grammar” to “Options”, “Proofing” and then on “AutoCorrect Options”.

“2057” is English for UK. For US spelling etc., see again this list: http://msdn.microsoft.com/de-de/goglobal/bb964664.aspx
